Introduction

Majority ordinary users computers face various problems. For example: you use a text editor from one company, a spreadsheet program from another, a business graphics program from a third, and the performance of your electronic assistant turns out to be low in the end. What's the matter? Yes, these programs are simply not designed for joint work.

Fortunately, there is a solution to this problem: the Microsoft Office suite, which contains most of the software you need.

The interface elements of the programs included in it are designed in the same way and they “communicate” with each other in the same language.

The Office suite is more than just a collection of programs in one box. Its name already suggests that it should contain powerful applications for commercial use that easily and naturally work with texts, numbers and images.

But the most attractive thing about the Office suite is what ties these applications together: all these programs share a common menu and set of buttons that look very similar. By learning how to work with one of the applications, you thereby greatly advance in the study of the rest.

In addition, the package includes an easy-to-use control center - Microsoft Office Manager, which allows you to start and exit individual programs, or receive detailed instructions and online help with a simple click of the mouse.

Microsoft Office Groove 20 2007

A new collaboration tool. Allows members of a distributed team to interact through a single workspace information space, solving a variety of joint tasks from creating documents to integrating applications within various business processes.

With the spread of the Internet, the concept of a work collective has completely changed. People living in different countries and working in different organizations may well participate in the joint development of the same projects. There are employees who never visit the office at all, but go about their work without leaving home. Others constantly travel and take part in common projects while on the road.

In a virtual office, everyone works where it is convenient for him, however, if the project is joint, then general control over the progress of its implementation is simply necessary. The main problem of such an organization of labor is the common resources. For those who work remotely, there is no typical office infrastructure that includes servers that store files, conference rooms, and so on. .

Microsoft Office Groove 2007 application designed specifically to make collaboration easier. Groove provides a space for users to meet online, discuss shared projects, transfer files directly from one computer to another, store file versions, and more. In fact, Groove empowers all employees virtual office feel closer to each other, as if they are in the same room.

Working with Groove starts with creating a new account. It is necessary in order to be able to access your data from any computer, for example, from home, work, laptop, etc. .

Account can be included in the Groove public directory so that other users of the program can discover it.

The Groove launcher looks like an IM window 21 -client. A list of contacts is displayed here, and it is possible to send a message to any of them. In addition, the Groove Launchpad contains another tab, Workspaces, which shows a list of all the workspaces you have created. Areas are divided into categories: active (those that are currently open), unread (those that have changes that the user has not yet viewed), and read (those that have not had changes since the last time they were accessed).

The workspace is the core element of Groove, so the first thing to do after downloading the program is to create it. True, it may turn out that it has already been created by other participants in the joint project. In this case, it will be enough for you to join it.

Workspaces can be of two types: a standard workspace that includes multiple components, and a workspace that provides file sharing.

The default workspace includes two tools for common work: project chat and file sharing component .

Once you open a workspace, you can send messages to other project members, add collaborative files, invite new users, and add other computers you plan to use Groove from.

In addition, there is the possibility of assigning roles. Each member of the working group can be in the role of leader, member or guest. Each role has a specific set of permissions associated with it. For example, a guest cannot delete, add, or modify files and folders, a member has more permissions, and a manager has all the options, up to changing permissions for each of the groups.

Groove is tightly integrated with Outlook, MSN Messenger 22 , MS Office suite programs, as well as with popular applications from other manufacturers, including Adobe Photoshop 23, WinRar 24, WinZip 25 . Using the File menu, you can create a new Word document, Excel spreadsheet, archive, etc. directly from Groove. The advantage of working with files this way is that you do not have to waste time adding files to the workspace they will be there be immediately after creation. Naturally, all the edits that you make to the files are automatically taken into account right there, and other project participants can see the changes.

Each workspace component is presented as a tab. Additional components can be added as needed.

For example, "Notepad" can be used to write and store notes, "Album" is useful for creating various graphic elements, say, diagrams. The Pictures component will be useful if you need to add digital photos or other images, and the Question Tracker is useful for discussing important questions that need to be answered in the course of work. It is worth noting special components for working with SharePoint files and InfoPath forms.

One workspace can contain several components of the same type, which can be convenient when working on major project. Thanks to this feature, you can create your own tabs for each small task that is solved within the project. For convenience, each tab corresponding to a component can be renamed .

For projects where file sharing is the primary concern, there is a special type of workspace called File Sharing. When creating such a workspace, you must specify the folder in which all files related to the project will be saved. By default, such a folder is created on the desktop, but you can choose any other location for it.

The convenience of this type of workspace is that you can manage files directly from Explorer. Groove adds to it new panel"Folder Sync", with which you can monitor which users use the workspace, invite new users, add computers with which to synchronize, synchronize workspace data with files on the computer. By default, new versions of files are downloaded automatically, but if you wish, you can set download limits or select manual mode, in which downloads will be performed only at the request of the user.

For each file that is in the synchronized folder, you can set the alert level, and then the program will notify you when a new version of it appears.

To add to a workspace that provides file sharing, new file, just copy it to the appropriate folder. Notification about the presence of a new file will appear in all members of the workspace.

Groove works on a peer-to-peer basis, meaning that files are exchanged directly between users, without the need for an FTP server or other "middleman" to store .

You can create a workspace that provides file sharing not only from the Groove window, but also directly from Explorer. To do this, just enter the desired folder and click the "Sync Folder" button that Groove adds to the toolbar file manager. When you do this, you will see the Folder Sync panel and the new workspace will appear in the general list in the Groove window.

Microsoft Office InfoPath 26 2007

An application for creating dynamic forms for collecting and sharing data. Helps streamline business processes and improve data collection across the organization.

InfoPath lets you do the following .

Creation of form templates. INdesign modeyou can design and publish user-friendly interactive forms. In addition to the ability to insert text fields, list boxes, and other standard controls into a form template, InfoPath lets you insert controls that allow the user to add, remove, replace, and hide sections forms. You can create a variety of form templates, from simple templates for collecting data from an immediate group to complex templates that are part of a large business process. InfoPath form templates can be used on their own, but you can also create forms to work with existing databases and Web services. Form templates can be published and accessed using, for example, a shared folder on a corporate network, a Web server, or a library on a Microsoft Windows SharePoint Services Web site. Additionally, if you have access to a server running the InfoPath Forms service 27 Services, you can create a single form template that can be filled out either in InfoPath, in a web browser, or at mobile devices.

Filling out forms. Users fill out forms based on templates created in Design view. When you fill out forms in InfoPath, you have the usual tools you can find in documents, such as checking the spelling on a form or inserting rich text and graphics into certain fields. Depending on the structure of the template, it may also be possible to combine data from several forms into one or export data to other applications. If the form template isfill in browser, users who do not have InfoPath installed on their computers can fill out forms in a web browser or on a mobile device .

At the heart of InfoPath is XML language . When you design a form template, InfoPath creates an .xsn file, which is a compressed (.cab) file that contains files that the form needs to work, such as files XML Schemas (XSD) and XSL Transformations (XSLT).When you fill out a form in InfoPath, the data included in the form is saved or submitted in the industry standard XML format. However, XML knowledge is not required to design a template or fill out an InfoPath form. It should be noted that the XML format greatly simplifies the process of reusing data from forms in an organization. For example, one InfoPath form template for a travel report can be used to pass XML data to a customer relationship management system, a petty accounting system, and a travel planning system.

You can use InfoPath to collect business data from a variety of individuals, such as colleagues, partners, vendors, and customers. For example, you can create a form template for an expense report for an organization's employees.

InfoPath form templates can be simple templates that are used by multiple users in a small workgroup. For example, in a sales team of 10 people, a form can be used to fill in informal sales information and share that information. Data in such forms can be combined into a summary report that will be sent to the manager on a monthly basis.

Another option is for organizations to develop more complex form templates that are linked to existing corporate databases or integrated with existing business systems. For example, IT developers might create a form template for an organization to manage expense reports. It may include representation and business logic tools that allow various categories of users to submit expense reports, view them, and reimburse the sender.

Some of the benefits of using InfoPath are listed below.

Greater access to forms. When using InfoPath and a server with InfoPath Forms Services, you can create browser-compatible form templates and make them available to internal and external Web sites. This makes it possible to share business forms with many users, including employees, customers, suppliers, and partners. You do not need to have InfoPath on your computer to fill out forms, nor do you need to download any additional tools from the Internet. All the user needs is access to a browser such as Windows Internet 28 Explorer 29 , Apple Safari 30 or Mozilla Firefox 31 . If you have InfoPath installed on your computer, you can view and fill out forms in it instead of in your browser. You can also create form templates that users can open and fill out on mobile devices.

Integration with Office system. The InfoPath application works with a number of other applications and servers in Microsoft system Office, including Microsoft Office Outlook, Microsoft Office Excel, and Microsoft Office Access. For example, you can create and fill out forms in email messages, export form data to worksheets, submit data to a database, or query data from a SharePoint list. In addition, developers can embed InfoPath forms without menus, toolbars, or other user interface elements into custom applications.

Data reuse. The data that users enter into forms does not remain private there forever. They can be converted or reused in a variety of ways. This flexibility allows developers to integrate form data with existing business processes. For example, data collected on sales reporting forms can be used to update company systems such as enterprise resource planning and customer relationship management. This allows company employees to access data where and when they need it and make more informed decisions. Timely updates sales data makes it easier for other groups, such as operations and finance, to make accurate production and cost forecasts.

Consistent, accurate data. InfoPath includes a number of tools to help you avoid data entry errors and fill out forms faster. For example, you can use formulas to automatically calculate mathematical values, applyconditional formattingto highlight the data, or include a spell checker to check for errors before submitting the form. In addition, when users fill out a form, the input data can be data verification for errors. If the form template is associated with a database or web service, users will not be able to submit data until the errors are corrected. This approach ensures that the data collected is accurate, error-free and meets established standards. The figure below shows what the user sees on the screen when a data error is detected.

Reduction of overhead costs. Unlike paper forms, which must be reprinted every time they are modified, InfoPath form templates can be easily modified and published again. In addition, InfoPath automatically detects if a template has been updated, so users will always have the latest .

Offline support. The user does not need to be online to fill out an InfoPath form. Users can save forms on their computer, work with them offline, and then submit them to corporate network when reconnecting. This is especially useful for those who have occasional or limited access to network resources, for example, for employees whose work requires frequent travel.

Fewer forms. Instead of distributing and saving multiple paper forms for a single business process, you can create a single form template in InfoPath that includes multiple views. For example, in an expense report form template, you could create one view for employees who enter expense values, a second one for managers who approve those expenses, and a third one for employees who handle cost recovery. By default, switching between views is done using commands on the View menu. You can also create rules to automatically switch views when users open a form, submit a form, or click a button on a form.

Flexible use of controls. In addition to standard elements controls such as text boxes and list boxes, InfoPath provides a number of new controls, such asrepeating tables, selection groups and optional sections. These types of controls allow you to create form templates that meet specific user needs. For example, an expense report form template might use a repeating table that allows users to enter as many expense items as required.

You can also create form template parts that you can save and reuse across multiple templates. Usually part of the template consists of controls anddata sourceand may also include such means asdata connections, data validation and rules . Using parts of the templates will save time, as well as create uniform in appearance, structure and behavior of form templates for the organization.

Tablet PC support. When working with tablet computer possible with the help tablet pen enter entries directly into the form fields. InfoPath then converts this data to text. You can also give Tablet PC users a dedicated field on the form where they can write or draw. This can be useful if you need to sketch a complex sketch or something special, such as a mathematical formula or a diagram of a specific business process. In this case, InfoPath saves the ink with the form without converting it to text.

Microsoft Office OneNote 32 2007

A flexible software solution that provides a single place to collect information of almost any kind, tools quick search and teamwork. Particularly effective on Tablet 33 PC 34 with pen input.

Some good programs are undeservedly in the shadows. Moreover, this applies not only to products of unknown companies, but also applications created by giants like Microsoft. For example, everyone is well aware of the existence of Word, Excel and Outlook, but OneNote is almost unknown to anyone. Meanwhile, this application can be a great addition to the popular office suite. However, even if you don't use MS Office programs, OneNote might still be good for you. assistant in everyday work at the computer.

Everyone who constantly works at a computer invariably accumulates a lot of information that needs to be stored somewhere. Interesting articles from the Internet , phone numbers of customers, the recipe for the Prague Cake and the list of references for the diploma it is often difficult to understand all this. In addition, many people cannot get rid of the habit of writing down various information on pieces of paper that accidentally come to hand. As a result, it takes a lot of time to search for the necessary information in your own archives.

OneNote is a program that helps you store and organize any type of information. It can store text, images, data presented in the form of tables, audio and video fragments, links to files of various types. All this is accompanied by comfortable organization, simple interface and excellent search capabilities.

In appearance, OneNote is closest to Outlook. As in mail program, OneNote 2007 hasn't abandoned the old interface as it did in Word and Excel. All the main commands are placed on the toolbar, the rest can be accessed from the main menu.

If a work project in Word is a document, and in Excel a workbook, then in OneNote we are dealing with notebooks. Notebook is the main element of the program, which stores all the information that the user enters. Notebooks have sections, and sections are made up of pages. If desired (for example, if the page contains too much information, but you want to show that the new data applies to this page), you can also create so-called subpages.

Since OneNote allows you to work with several notebooks at the same time, the program provides the ability to easily switch between them. To do this, use the special area "Notebooks" in the left part of the program window.

If desired, this area can be expanded, then the names of the notebooks will be displayed not vertically, but horizontally, and, in addition, it will be possible to quickly jump to the desired section.

However, to navigate between sections, it is convenient to use the tabs that are located exactly above the workspace.

And to move between pages, use the panel on the right side of the program window. At the request of the user, its width can be reduced or increased.

It is worth noting the presence of a full-screen mode, in which all interface elements disappear, except for toolbars, and all space is allocated for the workspace. This mode is convenient if you work with one page for a long time, and you do not need to switch between sections or notebooks.

In order to make it easier to navigate the program, a number of templates are offered for creating your own notebook, including such as personal, work, student. These notebooks include several sections by default, each of which provides an explanation as to what information can be stored in it. However, if you are organized enough, you can create an empty notebook and fill it with the necessary sections yourself.

As mentioned above, OneNote can store the most different types data, and, at the request of the user, they can be on the same page or on different ones. The first thing to do when creating a new page is to enter its title. It is very convenient that you do not need to do any extra actions when you create a page, the cursor is already set in the field for entering the title, and as soon as you finish entering and press Enter, the title appears on the navigation bar between pages, and you go to the main note content.

Text can be entered directly into the program or pasted from other applications. A OneNote page looks nothing like a page text editor text and other data are placed here in separate blocks.

Such blocks can be dragged around the workspace, resized, partially or completely overlap other blocks with them. In other words, the user is given complete freedom in organizing the workspace.

One block does not have to contain only data of the same type a block can contain, for example, text and an image. In order to make a block active, simply hover over the text, image, or other data that it contains .

Data entry in OneNote is very well thought out. By default, Russian and English spelling works, it is possible to quickly create tables. In order to enter data in the form of a table, it is enough to use the Tab key. Just enter the data that should be in the first cell, then press Tab. The first and second cells will be created automatically. Using the same key, you can create the required number of cells and fill them in.

Another feature of data entry in OneNote arithmetic calculations as you type. Let's say you're logging your travel expenses into OneNote. Once you have a rough estimate, you can type in a simple mathematical expression such as 45+65+90=. As soon as you press the Space key after the equal sign, OneNote will automatically perform the calculation and add the result of the expression. However, keep in mind that when changing data, you need to press the space again after the equal sign, since the program does not automatically update the result.

If data copied from other Microsoft programs, such as Word or Internet Explorer, is entered into OneNote, then the source address is placed after the text or image - the path to the file on the hard drive or the address of the web page. This saves a lot of time, because when copying, for example, information for some work, you do not need to manually enter the address of the site from which it was taken. Unfortunately, this function does not work when copying information from Opera browser, but works fine with Firefox.

Each block of data can be tagged using tags, such as "critical", "source for the article", "question", "remember", "discuss with supervisor", etc. Each tag has a colorful icon that is placed on the left from the marked block. One block can be marked with several tags.

The developers took care not only of a large number of pre-installed tags, but also of the possibility of editing them. By selecting the Customize Personal Tags command from the Tag list, you can add new tags, edit existing ones, or delete unnecessary ones.

You can view tagged notes in the Tag Summary task pane. Here they are grouped by tags, so you can quickly take a look at, for example, the information that is marked as important. Using filters, you can limit the display of tagged notes to only those that apply to the current section or notebook. There are also filters by date, with which you can display notes added during the last week, month, etc. .

If you find it difficult to immediately determine in which notebook the data should be placed, that's okay. OneNote has a dedicated section called Unfiled Notes. Here you can create as many pages as you like with data that does not belong to any of the notebooks. All notes from this section can be transferred to one of the notebooks at any time. To do this, just drag the label with the page name to the area of notebooks in any of the sections. Similarly, you can drag and drop pages from one notebook to another.

However, even if your notes remain "unfiled", because you will not find time to transfer them to notebooks, you are unlikely to get lost in them. OneNote has powerful search capabilities, so unorganized data is not a problem. The search window is compactly located near the section tabs.

To search, simply enter keyword. If desired, you can set the search scope only the current section, only this notebook, all open notebooks.

After the search is completed, a special panel with links will appear instead of the search box. Using it, you can navigate between pages on which the search word is found.

In addition, it is possible to view the entire list of pages that match the query in one window. To do this, just open the task area, which displays text fragments in which the search word occurs. Found fragments of text can be sorted according to different criteria: by date, by section, by title.

If you are collecting information on the Internet, then switching between browser windows and OneNote to add a note to the program is inconvenient. In this case, you can use the marginal notes feature. Just click on the OneNote icon in the system tray area, and a small window will appear on the screen where you can put notes. This window is convenient in that it can be reduced to a suitable size and placed anywhere on the screen. The marginal note window is always on top of all windows, so you don't have to worry about switching between program windows.

All data that you copy into such a window is automatically saved. Once you have closed it, the entire contents of the marginal note can be found in the Unfiled Notes section.

One of the interesting features of OneNote is taking a screenshot. Of course, you will not find powerful features here that are in specialized programs for creating screenshots, but for quickly copying some graphic information from the monitor screen, OneNote is great. To use this feature, you need to go to the program window where you want to capture the screen, right-click on the OneNote icon and select the "Create Screen Clipping" command. After that, the screen will be painted over with a translucent white color. To take a screenshot of an area, you just need to select it by outlining a rectangle. The screenshot will be automatically saved to OneNote in the Unfiled Notes section.

Among the many features of OneNote, it is worth noting the ability to recognize text in drawings. At first glance, it may seem that this feature has nothing to do with the note-taking program, but it is not. For example, some site owners install text copy protection. If you take a snapshot of the page and then recognize it, you will get text that is convenient for further work. There are other situations where the text recognition feature can come in handy for example, if a web page contains phone numbers postal addresses or email boxes placed as graphic files(this is often done to protect against spam).

To recognize text, just right-click on a picture placed in OneNote and select the "Copy text from picture" command. If it is inactive, then you must first select the "Search for text in pictures" command and specify the language English or German. Unfortunately, the Russian language is not supported.

OneNote is great for storing personal data, but it can also be used in multi-user mode if necessary. The program provides a lot of opportunities for collaboration.

First, you can create a public notebook where different users can write at the same time. This is useful if multiple people are working on the same project, because any information that one of the participants contributes will automatically appear in other users' copies of the notebook.

Secondly, you can open a note sharing session and exchange thoughts on a particular project in real time. For the convenience of visual perception, the data that is added by different participants is marked with color. In addition, during a collaboration session, you can always see a list of users connected to it.

Another handy feature worth paying attention to is highlighting a certain area with the cursor. If you activate this function, it will be possible to “draw on the screen”, drawing the attention of session participants to certain data. Drawn lines and other shapes disappear automatically after a few seconds and therefore do not clutter up the workspace.

A solution for building schemas and visualizing data. Provides the ability to visualize, analyze and share complex information, systems and processes .

Microsoft Office Visio 2007 is a versatile data and application modeling tool that supports both data modeling and object-oriented application modeling.

In fact, the best way to understand the positioning and capabilities of Visio is to use an analogy with Excel. After all, spreadsheets are also inferior in their capabilities to sophisticated business intelligence tools, solving accounting problems in an enterprise, or performing mathematical calculations. But at the same time, for a huge range of mass tasks, it is Excel that is not only suitable in terms of functionality, but also much more convenient due to its simplicity and accessibility.

Developing the analogy with spreadsheets, we can say that if Excel is focused on working with tabular numerical data, then Visio is designed to visualize heterogeneous information structures with various relationships. The user can apply both manual and automatic methods of drawing according to some initial data (for example, according to a tabular description of the staff of an organization or according to a description of the topology of a hierarchical system of a computer network). But anyway it gets images in some given style or standard. Visio comes with a rich set of templates business process flowcharts, network diagrams, workflow diagrams, database models, and software diagrams that you can use to visualize and streamline business processes, track project work and resource usage, optimize systems, organizational charting, network maps and building plans. However, Visio's features go far beyond just visualizing data: the professional edition of the package includes modeling and visual design tools for solving a range of common IT 44 -tasks, including the development software systems.

One of the innovations of the Visio 2007 package is that now with its help you can not only visually represent various objects, but also manage the data associated with them, including those stored in electronic Excel tables, bases Access data and SharePoint Server lists. The program can also track data trends and flag exceptions in PivotCharts, use new feature"auto-connection" for linking shapes in diagrams. Diagrams themselves can be saved in PDF formats 45 or Microsoft XPS 46 , as well as attach to e-mail messages (the recipient will be able to view them in Outlook 2007 even if Visio 2007 is not installed on their computer).

The package itself is available in two versions: Standard and Professional. The former allows users to create business-themed diagrams flowcharts, org charts, project schedules, block diagrams, basic network diagrams, and maps. The second includes templates for more schemas, as well as some additional features.

Conclusion

As a result of studying the course of computer science and information and communication technologies, I got an idea about the history of the emergence, development and areas of application of computer science and information and communication technologies.

As a result of the theoretical part of the course work, I got an idea about the history of creation, development and main characteristics of portable computers, as well as their areas of application in modern information technologies. As a result, I found out that in the first place laptop computers are used where increased mobility of computing devices is required. At the same time, they have a number of disadvantages compared to stationary devices, such as higher price, complexity of modernization and repair, lower functionality and performance.

As a result of the practical part of the course work, I learned the basic methods of using word processors, spreadsheet processors and database management systems on the example, respectively, of programs Microsoft Office Word, Microsoft Office Excel and Microsoft Office Access included in the application package Microsoft office.

Microsoft Office Word I learned how to enter, change and save on devices external memory, as well as print on the device for information output printer text documents; add different kinds of objects to them, such as pictures, tables and formulas; format symbols and paragraphs, parameters of built-in objects, pages and document.

As a result of studying the program Microsoft Office Excel I learned how to create spreadsheets using textual and numerical data; use formulas to process the entered information; build graphs of functions; perform formatting of data entered into table cells; use the possibilities of spreadsheets to select and sort the entered data.

As a result of studying the program Microsoft Office Access I gained an understanding of databases, the basics of designing and implementing basic database objects tables, as well as additional database objects such as forms, queries and reports. I learned how to design the structure of tables, forms, queries and reports; gained an understanding of the basics of the structured query language SQL and applied the acquired knowledge and skills in practice in the process of completing the tasks of the practical part of the course work.
