Some good programs are undeservedly in the shadows. Moreover, this applies not only to products of unknown companies, but also to applications created by such giants as Microsoft. For example, everyone is well aware of the existence of Word, Excel and Outlook, but OneNote is almost unknown to anyone. Meanwhile, this application can be a great addition to the popular office suite. However, even if you do not use MS Office programs, OneNote can still be a good assistant for you in your daily work at the computer.

Everyone who constantly works at a computer invariably accumulates a lot of information that needs to be stored somewhere. Interesting articles from the Internet, customer phone numbers, a recipe for the Prague Cake and a list of references for a diploma - understanding all this is often not easy. In addition, many people cannot get rid of the habit of writing down various information on pieces of paper that accidentally come to hand. As a result, it takes a lot of time to search for the necessary information in your own archives. OneNote is a program that helps you store and organize any type of information. It can store text, images, data presented in the form of tables, audio and video fragments, links to files of various types. All this is accompanied by a very convenient organization, a simple interface and excellent search capabilities.

Interface and data organization

By appearance OneNote is closest to Outlook. As in mail program, OneNote 2007 hasn't abandoned the old interface as it did in Word and Excel. All the main commands are placed on the toolbar, the rest can be accessed from the main menu.

If the work project in Word is a document, and in Excel it is workbook, then in OneNote we are dealing with notebooks. The notebook is the main element of the program, which stores all the information that the user enters. Notebooks have sections, and sections are made up of pages. If desired (for example, if the page contains too much information, but you want to show that the new data applies to this page), you can also create so-called subpages. Since OneNote allows you to work with several notebooks at the same time, the program provides the ability to easily switch between them. To do this, use the special area "Notebooks" in the left part of the program window.

If desired, this area can be expanded, then the names of the notebooks will be displayed not vertically, but horizontally, and, in addition, it will be possible to quickly navigate to the desired section.

However, to navigate between sections, it is convenient to use the tabs that are located exactly above the workspace.

And to move between pages, use the panel on the right side of the program window. At the request of the user, its width can be reduced or increased.

It is worth noting the presence of a full-screen mode, in which all interface elements disappear, except for toolbars, and all space is allocated for the workspace. This mode is convenient if you work with one page for a long time and you do not need to switch between sections or notebooks. In order to make it easier to navigate the program, a number of templates are offered for creating your own notebook, including such as personal, work, student. These notebooks include several sections by default, each of which provides an explanation as to what information can be stored in it. However, if you are organized enough, you can create an empty notebook and fill it with the necessary sections yourself.

Data input

As mentioned above, OneNote can store a variety of types of data, and, at the request of the user, they can be on the same page or on different ones. The first thing to do when creating new page- enter its title. It is very convenient that you do not need to do any extra actions - when you create a page, the cursor is already set in the field for entering the title, and as soon as you finish entering and press Enter, the title appears on the navigation bar between pages, and you go to the main note content. Text can be entered directly into the program or pasted from other applications. The OneNote page is completely different from the text editor page - the text and other data are placed here in separate blocks.

Such blocks can be dragged around the workspace, resized, partially or completely overlap other blocks with them. In other words, the user is given complete freedom in organizing the workspace.

One block does not have to contain only data of the same type - a block can contain, for example, text and an image. In order to make a block active, simply hover over the text, image, or other data that it contains. Data entry in OneNote is very well thought out. By default, Russian and English spelling works, it is possible to quick creation tables. In order to enter data in the form of a table, it is enough to use the Tab key. Just enter the data that should be in the first cell, then press Tab. The first and second cells will be created automatically. Using the same key, you can create the required number of cells and fill them.

Another feature of data entry in OneNote is arithmetic calculations as you type. Let's say you're logging your travel expenses into OneNote. Once you have a rough estimate, you can type in a simple mathematical expression such as 45+65+90=. As soon as you press the Space key after the equals sign, OneNote will automatically perform the calculation and add the result of the expression. However, keep in mind that when changing the data, you need to press the space again after the equal sign, since the program does not automatically update the result. If OneNote brings in data copied from other Microsoft programs, such as Word or Internet Explorer, then the source address is placed after the text or image - the path to the file on the hard disk or the address of the web page. This saves a lot of time, because when copying, for example, information for some work, you do not need to manually enter the address of the site from which it was taken. Unfortunately, this function does not work when copying information from Opera browser, but works fine with Firefox.

Tags

Each block of data can be tagged using tags, such as "critical", "source for article", "question", "remember", "discuss with supervisor", etc. Each tag has a colorful icon that is placed to the left of the tagged block. One block can be marked with several tags.

The developers took care not only of a large number of pre-installed tags, but also of the possibility of editing them. By selecting the Customize personal tags command from the Tag list, you can add new tags, edit existing ones, or delete unnecessary ones.

You can view tagged notes in the Tag Summary task pane. Here they are grouped by tags, so you can quickly take a look at, for example, the information that is marked as important. Using filters, you can limit the display of tagged notes to only those that apply to the current section or notebook. There are also filters by date, with which you can display notes added during the last week, month, etc.

Unfiled notes

If you find it difficult to immediately determine in which notebook the data should be placed, that's okay. OneNote has a dedicated "Unfiled Notes" section. Here you can create as many pages as you like with data that does not belong to any of the notebooks. All notes from this section can be transferred to one of the notebooks at any time. To do this, just drag the label with the page name to the area of notebooks in any of the sections. Similarly, you can drag pages from one notebook to another.

Search

However, even if your notes remain "unfiled", since you will not find time to transfer them to notebooks, you are unlikely to get lost in them. OneNote has powerful search capabilities, so unorganized data is not a problem. The search window is compactly located near the section tabs. To search, simply enter keyword. If desired, you can set the search scope - only the current section, only this notebook, all open notebooks.

After the search is completed, a special panel with links will appear instead of the search box. Using it, you can navigate between the pages on which the search word is found.

In addition, it is possible to view the entire list of pages that match the query in one window. To do this, just open the task area, which displays text fragments in which the search word occurs. Found fragments of text can be sorted according to different criteria: by date, by section, by title.

marginal notes

If you are collecting information on the Internet, then switching between browser windows and OneNote to add a note to the program is inconvenient. In this case, you can use the marginal notes feature. Just click on the OneNote icon in the system tray area, and a small window will appear on the screen where you can put notes. This window is convenient in that it can be reduced to a suitable size and placed anywhere on the screen. The marginal note window is always on top of all windows, so you don't have to worry about switching between program windows.

All data that you copy into such a window is automatically saved. After you have closed it, the entire contents of the marginal note can be found in the "Unfiled Notes" section.

Additional features

One of the interesting features of OneNote is taking a screenshot. Of course, you will not find powerful functions here that are in specialized programs for creating screenshots, but for quick copying of some graphic information from a monitor screen, OneNote is fine. To use this feature, you need to go to the program window where you want to capture the screen, click on the OneNote icon right click mouse and select "Create Screen Clipping". After that, the screen will be painted over with a translucent white color. To take a screenshot of an area, you just need to select it by outlining a rectangle. The screenshot will be automatically saved to OneNote in the "Unfiled Notes" section. Among the many features of OneNote, it is worth noting the ability to recognize text in drawings. At first glance, it may seem that this feature has nothing to do with the note-taking program, but it is not. For example, some site owners install text copy protection. If you take a snapshot of the page and then recognize it, you will get text that is convenient for further work. There are other situations where the text recognition feature can come in handy - for example, if a web page has phone numbers, postal addresses or boxes Email placed in the form graphic files(this is often done to protect against spam). To recognize text, just right-click on a picture placed in OneNote and select the "Copy text from picture" command. If it is inactive, then you must first select the "Search for text in pictures" command and specify the language - English or German. Unfortunately, the Russian language is not supported, as we have seen by trying to recognize the Russian text.

But our test with English language passed successfully.

Collaboration with multiple users

OneNote is great for storing personal data, but it can also be used in multi-user mode if necessary. The program provides a lot of opportunities for collaboration. First, you can create a public notebook where different users can write at the same time. This is useful if multiple people are working on the same project, because any information that one of the participants contributes will automatically appear in other users' copies of the notebook. Secondly, you can open a session sharing to a note and in real time to exchange thoughts about a particular project. For the convenience of visual perception, the data that is added by different participants is marked with color. In addition, during a collaboration session, you can always see a list of users connected to it.

Another handy feature worth paying attention to is highlighting a certain area with the cursor. If you activate this function, it will be possible to "draw on the screen", drawing the attention of the session participants to certain data. Drawn lines and other shapes disappear automatically after a few seconds and therefore do not clutter up the workspace.

Conclusion

OneNote is a very convenient and functional program, the possibilities of which are much wider than that of a regular notebook. With its help, you can not only keep notes and a business diary, but also organize information by major projects, hold joint meetings in multi-user mode. The program can be safely called a universal solution that will suit both housewives who use a computer to store prescriptions and drug names, and students who are in the process of preparing scientific works have to work with large amounts of information, and business people. Integration with other programs from Microsoft, convenient organization of notes on the workspace, thoughtful data entry tools different type- all these features of OneNote put the program head and shoulders above other applications for maintaining personal and business records. Download Russian trial version OneNote 2007 is available from the Microsoft website. The boxed version of the program costs about $100. The program is also included in the packages Microsoft office Base 2007 and Microsoft Office Corporate 2007.

Of course, there is nothing wrong with Word documents, Excel, and even became available for viewing and editing on android devices. However, it is worth noting that Microsoft, as always, was in no hurry. Therefore, many free office applications available for download on Google Play, have already learned how to work with such documents for a long time. But the guys from Microsoft Office managed to create an application OneNote Mobile, which began to quickly gain popularity and, in the end, became a real hit. And this is no coincidence.

It should be noted that OneNote Mobile is a truly universal program. The user receives a tool with which you can create text notes, create a list of tasks and control the progress of their execution, in a word, organize information in any way. convenient way. Moreover, the functionality of OneNote Mobile is not limited to individual use only. Several people can work on the same project or document while being in different places the globe, and communicate with each other through a tablet, personal computer or smartphone.

The capabilities of the OneNote Mobile android client do not differ from the same programs on Windows Mobile or Apple iOS.

The user has the ability to save and edit notes in the "cloud" Microsoft SkyDrive, as well as leave individual materials for later viewing and editing offline. The OneNote Mobile app also makes it easy to find your most recent notes and insert photos taken with your smartphone or tablet camera.

One of the clear advantages of the program over many of its competitors is cross-platform. The user does not need to think about what phone or computer his business partner has, since OneNote Mobile can be installed on a phone or tablet with any operating system.

OneNote Mobile has paid and free versions. The significant difference between the two is the 500 note limit for free option. After reaching this figure, the OneNote Mobile android client becomes almost useless. The user will be able to synchronize data as before, but he will no longer be able to create any type of record.

The main competitor of OneNote Mobile has always been, which used to have some advantage due to its versatility. However, after Microsoft also had an app for Android devices, this advantage disappeared.

A few months ago, I received a question about how I use OneNote myself. Late, but still posting here a list of 10 situations in which I most often turn to OneNote

1) It is very convenient to make adjustments to sites in it. I cut the screen, the url is inserted automatically, I circle the necessary pieces, put arrows.

2) We often use common notes OneNote books. A book with numerous sections is created, containing various documents on the topic, and laid out on the SharePoint portal. Convenient, because the same file can contain dozens of documents - all the information on the topic - in one place. I can always view such a shared notebook from my own computer, without wasting time remembering the right link.

3) To-do lists for today. I absolutely love writing a list, adding checkboxes to items, and ticking boxes throughout the day.

4) Brainstorming, lists of any ideas, blog topics. Even after a very long period of time, they can be quickly found.

5) Any notes that need to be taken very quickly. I just open the program and write it down in the first place that comes across. I restart my computer at best once every couple of weeks, so situations with a shutdown button and a complete discharge of the battery are not uncommon. OneNote automatically saves all notes.

6) Periodically at meetings, if there is a lot of new and important information, I turn on audio recording. It is especially convenient to record sound at the same time as text notes.

7) If I don't want to retype the text from the picture, but I need the text, I insert the picture into OneNote and do the recognition.

8) In OneNote, I store all the necessary screenshots. Very convenient, they do not get lost anywhere.

9) And finally, the situation in which OneNote really came in handy for me the first time. I was writing a diploma for a second higher education, and One Note turned out to be very convenient to collect, structure, and, most importantly, keep large amounts of information in front of my eyes.

For some unknown reason, I rarely use the rest of the features. But I hope you fill in that gap.)

Ivan - copy the picture to OneNote, right-click on it,

First of all, select the option "search for text in pictures" - and switch to the desired language,

the recognition itself is called "Copy text from picture", this is the third option from the top on the right mouse button.

Alexander - asked a colleague a question, waiting for an answer

Thank you, Tatyana, for not forgetting about the question!

I think that some people will now look at the program with different eyes.

Selecting the screen clipping in OneNote (clicking on the square on the side of the screen clipping), and right-clicking on the selection, opening a menu where "search for text in pictures" is selected (English, German, Russian, disabled). After the pop-up window finishes recognizing the text, right-click again on the selected screen clipping and select, in the menu that opens, - "copy text from picture".

In the PROMT program, if the translator window is already open, the copied text is automatically pasted and translated.

Volodya - I had something to think of, but at first I got confused, and then I decided not to finish writing in order to find out how carefully they read me.))

Would you like to send me a private message (through the e-mail form)?

Andrey - I myself regret that when I studied, all this was not there)

I mean when I studied for the first time)

Sergey, I'm sorry that I was late with the answer beyond all good manners))

Ivan - The menu item "convert ink to text" is for touch screens where it is more convenient for people to take notes with the pen. Notes are obtained "by hand", and in order to work with them as text, they must be recognized.

Point 7 is ingenious, it is especially useful to me when sending an answer the size of an A4 sheet on the MSDN forum, the page freezes 🙂 PrtScr + OneNote work wonders, recognizes English especially well, literally corrected a couple of letters from the entire text (mostly confuses the letter O and 0 ).

OneNote really reveals its potential more in a multi-user environment. For example, OneNote web app on SkyDrive allows you to successfully conduct joint projects with people who are not connected by a common employer or something else. Yes, and a local copy of the program is not needed.

It seems to me that it should be promoted among students. If there were a netbook and OneNote 2010 during my training, there would be no price for all this. 🙂

In addition to all of the above, it is very convenient to use this program for translation after text recognition. Since machine translators in the browser are not always able to translate the desired text. In this case, in order not to manually enter the text (due to the fact that the necessary text cannot be selected), it is OneNote that saves the translator program installed on the computer.

And I'm learning :) this moment, and if it weren’t for a phone with wp7, I would never have known about such a wonderful software) usefulness, functionality and convenience go off scale, thanks to the developers…

Alexander - about OneNote for iPhone in Russian app store there is no particular clarity. Not this calendar year. ((

  1. Thanks for the article)) I didn’t use this program at all before, but now I think it will be my savior ^^
  2. Yes, this is news about recognition!

I just don't see how to do it? Menu item Drawing - Convert handwriting to text, I do not have it active

I support the question about the availability of OneNote App for iPhone.

Now it is not available in Russian iTunes, which is very frustrating. Since even English version would be very helpful.

Great program. I have been using it since its first release. For me, the most important item in the IE menu is "Send to OneNote" Thanks to this, I collected a lot useful information from the Internet. But the recognition of Russian does not work well for me.

But still, in my opinion it is the best program for users!!!

The title says "10 cases", but in fact there are only 9 cases in the text. It looks like there was nothing to come up with for the 10th option.

    9- better use MindJet Manager.

Does anyone actually use this crap?

Do you use OneNote as part of your Microsoft office suite? An electronic notepad is very convenient for taking notes and storing information, and also offers many other great features. For example, with its help you can keep to-do lists and organize the most time manager. Let's figure out how.

Using keyboard shortcuts

Like any application, OneNote has its own "hot keys", the most common of which are easy to remember. So, by pressing the combination Ctrl + 1, on the left of current line or paragraph, an empty box will appear - a checkbox to fill with a tick. Pressing the same combination again will fill the checkbox with a checkbox (on the third click, the checkbox will simply disappear), or you can check or uncheck it with a simple mouse click.

Other numbers work similarly in combination with the Ctrl key. So Ctrl + 2 will put down the star icon, which can be used for important notes, including in the list, and Ctrl + 3 will add a question mark.

These elements are called tags. They are also available on the ribbon menu via the Home tab and the Tags area. In particular, by clicking here on the "Find Tags" button, you can get a list of all entries marked with a particular tag.

In addition, the combination Ctrl + u will create bulleted list, the use of which, along with a checkbox for checkmarks and notes of importance, may be quite sufficient for the formation of to-do lists.

Files at your fingertips

It often happens that it is difficult for us to remember where a particular file was saved, especially if it was a long time ago. OneNote suggests not to bother in this regard, but to immediately insert files into notepad entries. This will be especially true if your to-do list later needs to use specific files from the device.

Add office documents or PDFs, videos, or music to OneNote. You can simply transfer the file to OneNote with the mouse, after which a shortcut to the document will be automatically created and you will no longer have to look for it. You can double-click to open it later (audio and video can be played directly in OneNote).

Communication with Outlook

By itself, OneNote is a very useful solution, but in conjunction with the Outlook email client, it can become even more functional. When creating appointments in the Outlook calendar, you can add notes to them from Notepad using the Meeting Notes button. At the same time, notes can be either yours personally or common to all participants.

In addition, cases and tasks created in mail client from Microsoft may also be associated with the OneNote app. At the same time, it will be possible to mark the task as done directly in the electronic notebook. In OneNote itself, it is convenient to create tasks for Outlook through the ribbon menu, the Home tab, the Tags area, and the Outlook Tasks button (this way you can immediately set the due date for the task).

The Microsoft Outlook 2016 email client allows you to use it as a full-fledged organizer. Here you can keep events in the calendar, a to-do list with reminders and all kinds of notes.

Do not forget about the task

Perhaps the main problem with paper to-do lists is that they take up space. Whether it's a notebook, a sticker, or just a piece of paper. And there is always the possibility of losing records or not taking them with you when you need them.

With a digital notepad, there is no such problem. OneNote is available on every possible platform, so if you're not in the habit of leaving at home mobile phone, then your notes will always be with you. And even if you do not have the appropriate application installed on your mobile device, you can always access your notebook via the Internet (this can also be convenient if you are not using your computer - just log in to office.com under your account and get access to your office documents).

In addition, the presence of the OneNote app on mobile devices allows you to always quickly make notes, including adding new tasks to yourself, at any time - whether you are traveling in transport or at a business lunch. The thought came - recorded. The phone is always at hand. IN last resort, you can use the audio recording option, which is also available in OneNote, if for some reason you are uncomfortable typing in text.

Appearance of OneNote

OneNote's standard view gives you easy access to your notebooks and notes without overloading you with unnecessary information. However, when working with to-do lists, a full display of all sections may simply be redundant.

Through the ribbon menu in the "View" tab, you can switch the display to "Page View" so that nothing distracts from the information. In this case, the size of the window with the mouse can be made more compact. Or, in principle, you can select the “Pin to desktop” option. In this case, your entries will be neatly located on the right side of the screen on top of the rest of the windows.

This view can be very useful when you are looking for some information on the Internet, say, preparing for a vacation, or just working on a computer all the time. The to-do list is always at hand. In addition, this view will be relevant if you use the option of linking files of various office applications, for example, OneNote with text editor word. You can check if this option is currently enabled by the link icon in the upper right corner.

To exit Alternate View, simply click on the double arrow icon in the right upper corner one note.
